WriteOff helps small business owners understand whether an expense is likely deductible. This policy explains what we collect, why, who processes it, and the choices you have. WriteOff is operated by Appana Ventures LLC, 212 W Troy St Ste B, Dothan, AL 36303, USA ("we"). In October 2026 WriteOff moved from its original developer to Appana Ventures LLC; your account and records moved with it, and this policy applies to them as before.
What we collect
- Account information. When you sign in with Apple we receive a stable user identifier and, if you share it, an email address (which may be an Apple private relay address). We do not receive or store a password.
- Business profile. The details you enter about your business: name, industry, entity type, state, whether you have employees, and optional details such as vehicles and a home office.
- Expenses and receipts. Photos or files of receipts you upload, the details read from them (merchant, date, items, amounts), the answers you give to follow-up questions, and the results WriteOff computes, including citations and documentation checklists.
- What you type. The text you type to describe a purchase or ask about one.
- Support messages. If you use the contact form on our website: your email address, your name if you give it, and your message. We use them only to answer you.
- Technical data. Request logs needed to run and secure the service (for example timestamps, error codes, and rate-limit counters). Logs redact tokens, keys, and signed file links.
- Notifications. If you turn on notifications, your phone gives WriteOff a push token. We use it only to send the reminders you chose (deadlines, a weekly note, a 1099 reminder). Notifications show dates and counts, never amounts or store names. Turn them off in Settings in the app or in iOS Settings.
- Purchases. If you subscribe to WriteOff Pro, Apple handles the payment; we never see your card. We receive the plan, its renewal and expiry dates and a transaction record, linked to your WriteOff account, so we can unlock Pro on your devices.
- Shared links. When you send your tax pack to a preparer, WriteOff makes a private link. Anyone with the link can see that year's summary and download its files until the link expires (30 days) or you tap Stop sharing. We count how many times it's opened.
We do not collect your location, contacts, health data, or browsing history, and we do not use advertising identifiers or track you across other companies' apps or websites.
How we use it
- To read your receipts, run the deduction rules, ask the follow-up questions that change the answer, and keep a record of each result with its receipt and sources.
- To keep your records available across your devices and let you export them.
- To secure the service, prevent abuse, and fix problems.
We do not sell your data and we do not use it for advertising.
AI processing (third party)
With your permission, WriteOff uses two AI services to understand what you give it. The receipt image or document you upload is sent to Anthropic (the Claude API) to read it. Text, meaning what you type and the text read from a receipt, is sent to TypeSafe (its jev model) to suggest a category, pre-fill answers you have already given, sort mixed receipts into business and personal items, understand History searches, and flag requests we can't help with. The tax decision itself is made by WriteOff's own deterministic rules, not by either AI, and every suggestion is shown to you to confirm. Both services process this content only to provide the service to us; under its commercial terms, Anthropic does not use it to train its models. You are asked for permission before anything is sent to either service, and you can turn AI off in Settings > Privacy at any time; you can still enter expenses by hand.

- TypeSafe (the jev model: category suggestions, pre-filled answers, and request screening from text), as described above.
- Vercel (hosting of our website and its support form).
- Railway (hosting of our servers, database, and encrypted file storage in the United States).
- Apple (Sign in with Apple, app distribution, and payments for WriteOff Pro).
- RevenueCat (keeps the record of your WriteOff Pro subscription so it works on all your devices; it receives your WriteOff account ID and Apple's purchase records, not your name or email).
Service providers may process data only on our instructions and only to provide their service to us.
Storage and security
Data is sent over HTTPS. Receipts are stored in private storage and can be viewed only through short-lived signed links. Access to every record is checked against your business membership. Tokens on your device are kept in the iOS Keychain.
Retention and deletion
We keep your records while your account is active so they remain available for your tax records. You can delete individual expenses in the app. You can delete your account in Settings > Account > Delete account; this removes your account, businesses, expenses, receipts, and typed questions from our systems. Support messages are kept for up to two years so we can follow up, and you can ask us to delete them sooner through the contact form. Copies in database backups are removed as those backups expire on their normal schedule (within 90 days).
Your choices
- Export your records at any time (History > Export for my accountant).
- Turn AI reading off (Settings > Privacy).
- Delete your account (Settings > Account).

WriteOff provides general information based on public IRS guidance. It is not tax, legal, or accounting advice. For decisions that depend on your specific circumstances, talk to a tax professional.
Children
WriteOff is intended for adults running a business and is not directed to children under 13.
Changes
If we change this policy we will update the effective date and, for material changes, tell you in the app.
